How to run your club on Squadify
Four walkthroughs covering the parts of a season most clubs set up first, in the order you are likely to need them.
The live demo is the other resource worth knowing about: a real portal with a club mid-season in it, so you can follow any of these guides on real data without signing up for anything.
Questions
The ones clubs ask once they are running
Questions about plans and what is included are answered on the pricing page. These are the ones that come up during a season.
A player cannot sign in
Open the squad list and check two things: the player has a mobile number or an email on their record, and Portal access is ticked. Those two together are the whole of sign-in. If both are set and the code is not arriving, it is a delivery problem rather than an account one — send over the number or address and Squadify will trace it.
Nobody is answering an availability request
The portal chases on its own inside a window you set, capped, and only during civil hours. A quiet squad is usually one that has never opened the portal at all — the squad list shows who has signed in and who has not, which is the first place to look.
Changing the club name, crest or colours
Settings → Club for the name, location and contact details. Settings → Appearance for the crest and colours. Changes apply everywhere immediately. An agreement a player has already signed keeps the name it was signed under — renaming a club does not rewrite a signed document.
Adding or removing staff access
Settings → Accounts. There is no per-seat charge, so add everyone who needs access rather than sharing a login. Admin should go only to people who should be able to change club settings and other people's access; coaches do not need it to run sessions, pick teams or write reports.
A trialist who is not in the squad
Keep them on the shortlist. A trialist can be added to a session and appear in attendance without being on your roster, so they stay out of your squad, your stats and your fee ledger until you decide. Convert them to a player only when they sign.
Getting your data out
Ask and you get all of it — squad, fixtures, stats, plans, signed documents — in a form you can read without Squadify. No charge, and it is not conditional on why you are asking.
Who at Squadify can see our data
Squadify staff only, and only to answer the question in front of them. What is held and who it reaches is set out in the privacy policy.
A player wants their data corrected or deleted
The club decides, because the club is the controller of its own players' data. Make the change in the portal — deleting a player removes their record and everything hanging off it. If you need help, ask and someone will do it with you.
Where fee payments actually go
Into the club's own Stripe account, which the club completes with Stripe directly — or by Zelle, Venmo, bank transfer or cash, which never touches a processor at all. Squadify never holds the money and takes no percentage. Refunds and disputes are handled in your Stripe dashboard, between you and the player.
Asking for something the product does not do
Send it. Squadify is built by people running a club on it, so a request that makes a season easier gets taken seriously. You will get a straight answer on whether and roughly when, rather than being added to a list you never hear about again.
