Getting your club set up
From signing to your first availability request. Most clubs are running inside a week, and the work on your side is mostly sending over what you already have.
1. Your club's identity
Settings → Club holds your club's name, location, contact address and the league you play in. Settings → Appearance holds your crest and your colours. Both apply everywhere immediately — sign-in screens, the player portal, printed team sheets and session plans.
Set the league and the governing law before you write your agreement. The player agreement template asks for both and puts them in the draft, and a document a player has already signed keeps the wording it was signed under.
2. Your staff
Settings → Accounts is where coaches and staff get access. There is no per-seat charge, so add everyone who needs it rather than sharing one login — the audit log is only useful if it names a person.
Give someone admin only if they should be able to change club settings and other people's access. Coaches do not need it to run sessions, pick teams or write reports.
3. Your squad
Send the squad in whatever form it already exists — a spreadsheet, a team-sheet PDF, an export from something else. On the Club and Academy plans Squadify loads it for you. What is needed per player:
- Name, and squad number if you use them
- Positions, which drive the depth chart and lineup suggestions
- A mobile number or an email address — either one is enough to sign in
Hometown, date of birth and a photograph are optional and can come later. Nothing blocks on them.
4. Turn on portal access
A player can be on the roster without having access to the portal — useful for a trialist you are still deciding on. Portal access is a tick on the player's record, and together with a phone number or an email it is the whole of sign-in. There is no password to issue and nothing for a player to install.
5. Send the first request
Put your next fixture or session in Schedule and send the availability request. That first one does two jobs: you find out who is available, and the squad list starts showing you who has opened the portal and who has not. A quiet squad in week one is almost always the second thing rather than the first.
